*Position Summary:* The Executive Assistant is responsible for managing the schedules and communications of key company executives.
Their duties include scheduling, reviewing and prioritizing emails, gathering documents to prepare for meetings and coordinating travel arrangements.
This person will also be responsible for answering and returning phone calls; organizing documents; maintaining records; taking notes at meetings and any other administrative tasks that help the executive perform their job.

*Essential Duties and Responsibilities:* Our impactful work is guided by our Core Values: *SxanPro Core Values* * Think Bigger * Turns Chaos into Clarity * Fail Forward * Innovate * Focused Solutions * Optimize *Emotional Capacity* * Manage communication with employees by liaising with internal and external executives on various projects and tasks * Providing administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on the executive’s behalf * Maintain professionalism and strict confidentiality with all materials *Mental Capacity* * Book and reschedule travel accommodations as needed * Maintain and refine internal processes that support high-ranking executives companywide, and coordinate internal and external resources to expedite workflows * Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives * Maintain various records and documents for company executive(s) * Manage professional and personal scheduling for CEO, including agendas, mail, email, phone calls, client management, and other company logistics * Draft, review and send communications on behalf of company executive(s) * Maintaining comprehensive and accurate records * Performing minor accounting duties * Engagement in HubSpot CRM for contracting and projects *Time Capacity* * Support the CEO primarily and provide additional support to executive team members, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently * Plan and orchestrate work to ensure that senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld * Manage senior executives’ travel logistics and activities, including accommodations, transportation, and meals * Organize and prepare for meetings, including gathering documents and attending to logistics of meetings *Physical Capacity* * Perform other duties as assigned *Education, Qualifications and Skills:* * Four or more years of experience in an administrative role reporting directly to upper management * Preferred start up experience or small company experience * Proficient in Microsoft Word, Excel, Power Point, and Outlook * Proficiency with office productivity tools and an aptitude for learning new software and systems * Experience in overseeing budgets and expenses * Experience in developing internal processes and filing systems * Flexible team player, willing to adapt to changes and unafraid of challengesAbility to maintain confidentiality of information related to the company and its employees * Excellent written, verbal communication and presentation skills * Highly organized, detail-oriented, excellent time management skills and able to effectively prioritize tasks in a fast-paced, high-volume and evolving work environment * Time management and ability to organize and coordinate multiple concurrent projects * Proactivity and self-direction * Interpersonal skills and strong customer relation skills * Motivated self-starter who loves to solve challenging problems and feels comfortable working directly with customers * Strong analysis and judgment skills.
* Willingness to travel up to 10% of the time.
*Work Environment:* * This job may operate in a hospital environment and may be exposed to blood borne pathogens.
* While performing the duties of this job, the employee is frequently exposed to odors, fumes, dust or airborne particles, moving mechanical parts and vibration.

Job Type: Full-time Pay: $60,000.
00 - $70,000.
