*Job Summary:* The Executive Assistant to the President is instrumental in orchestrating the daily activities of the President and acts as a vital connector between the President's Office and various key entities.
Upholding strict confidentiality, showcasing discernment, and maintaining discretion are foundational to these roles.
They are expected to epitomize exceptional service, professionalism, and integrity, actively navigating challenges, and preserving an image aligned with the university's leadership standards.
As ambassadors of the President’s Office, they should exemplify maturity, accessibility, and adeptness.
Collaborate and cultivate a strong working relationship with the counterpart executive assistant to ensure cohesive support for the President and President’s Office operations.
*Essential Functions:* * Independently manage the president’s daily administrative tasks using sound judgment and professionalism.
This includes overseeing a rapidly changing calendar, arranging meetings, appointments, and events, and liaising with campus and community leaders to ensure smooth scheduling and logistical planning.
* Support the president by offering executive and lead staffing services; attend both internal and external events alongside the president, prepare them for top-tier participation at these functions, and offer immediate assistance to ensure effective interaction and guidance during the events.
* Provide project management and executive staffing leadership to assigned committees, councils and other teams, including the President’s Innovation Projects Council.
* Organize and prepare materials, copies, and files for meetings, ensuring all necessary resources are readily available.
* Coordinate and prepare background and preparation materials pertaining to engagements with external organizations at both local and national levels.
* Collaborating with the Chief of Staff to the President and Vice President for University Relations, support the President in representing the University by engaging with various boards, community groups, and colleagues.
* Prepare confidential reports and documents while maintaining the highest standards of data security.
* Show sensitivity in responding to and monitoring concerns from various staff, students, and community constituencies.
* Manage and oversee the budget, financial processes, and expense tracking for the President, including reviewing and reconciling P-card, expense reports, and mileage reports.
* Ensure timely preparation of presidential communications, messages, and speeches.
* Prepare, on behalf of the President, draft correspondence and the preparation of reports and data for University Leadership.
* Compose email responses and messages on behalf of the President.
* Perform other duties as assigned.
*Required Qualifications:* * Bachelor’s degree required.
* Minimum of five or more years of administrative assistant, executive support, and/or project management experience.
* Proficient in executive-level writing and editing, with the ability to craft professional communications, presentations, and graphics.
* Advanced technical and digital skills.
* Proficiency in maintaining confidentiality, working under pressure, prioritizing tasks, managing details, and working independently.
* Exceptional time management and organizational skills, with the ability to handle multiple projects concurrently.
* Excellent presentation, communication, and interpersonal skills to respond to a variety of inquiries.
* Exceptional attention to detail.
* Demonstrated ability to relate effectively to students, employees, and the public.
* Strong interpersonal skills and a proven ability to work collaboratively within a team.
* Track record of working with and respecting diverse populations.
* Willingness to work flexible hours, including nights, weekends, and outside regular business hours as required.
