*Position Overview:*
Coordinates administrative activities, maintains and monitors completeness and accuracy of records and files, tracks accounts payable, and provides clerical support services to assure efficiency of services delivered in an environment of continuous program improvement.
*Essential Duties and Responsibilities*_:_
Administrative
* Collects, processes, and tracks supply orders for the Education and Special Needs departments and distributes them in a timely manner.
* Balances the accounts for the Education and Special Needs departments.
* Assists staff and sites in maintaining their MiRegistry profiles and memberships and ensures accuracy of information in the system.
* Ensures each site maintains their Quality Level through Michigan’s Great Start to Quality system.
* Tracks training attendance and maintains records of staff professional development hours.
* Serves as a contact in the coordination of events and planned field trips.
* Attends required meetings and trainings and records meeting notes.
* Reviews and edits processes, procedures and forms for clarity and accuracy.
* Collaborates with specialist staff to submit articles for site newsletters.
* Maintains files and records in a confidential manner.
* Works with the information system staff to assure accuracy of program data.
Department Support
* Provides occasional classroom and site receptionist support to cover staff absences or to offer additional support to classrooms in need including on field trips and other site events.
* Stays up to date with departmental processes, procedures, and forms, and serves as a point of contact for questions regarding our departments.
* Assists in setting up new classrooms and confirms the classroom environment meets licensing requirements.
* Attends CLASS trainings and maintains CLASS observer and Trainer Certification to facilitate best practices in adult-child interactions based on the CLASS system.
* Conducts CLASS observations as assigned and submits timely reports.
* Plans, orders, and distributes literacy materials to children for breaks in service and extended absences.
* Keeps department storage areas organized and stocked and has knowledge of the inventory available to staff.
* Tracks and inventories agency classroom furniture.
*Required Education and Experience:*
* Associate Degree required (Bachelor degree preferred) in related field with 1-2 years administrative experience.
